TIME MANAGEMENT — Productivity Tips!
Have you ever said, “What happened to the day or week? I feel like nothing was accomplished.” Do you feel at times you are just a “project hopper” and only chipping away at the projects a little at a time? You’re not alone in this struggle. We all find it challenging to manage our ever-growing task list within the constraints of the time available. Those task lists are never going away, but here are a few productivity tips to make getting through them easier!
PRIORITIZE. Before ending your day, create a top ten hit list for your next workday. Having an action plan for your next workday written down before ending your day will relieve your mind of the “I gotta do’s” in your off-time. If you have more than ten professional tasks, prioritize them and see what can be delegated.
Your Top Ten Task List should be comprised of three tiers:
Top Third Tasks – tasks that must get done that day Second
Third Tasks – tasks that must be completed within the present week
Last Third Tasks – tasks that must be accomplished by month’s end
Typically, focusing on daily tasks first will help reduce the stress of achieving larger tasks.
SET REALISTIC GOALS. Having realistic goals within the appropriate time frame will keep you from feeling overwhelmed. When trying to achieve the impossible within a set amount of time, stress and failure usually follow. All goals can be met with good planning and tracking. To prevent unnecessary stress, here are some tips for setting realistic goals. Write Down Your Goal — By writing down your goal, you take the first step in achieving it and owning it. Break It Down — Depending on the goal, break it down into smaller, manageable steps you would need to go through to achieve it. Each part will contribute to the overall goal. Some goals will have more steps to achieve than others. Inventory Resources — Look at the resources you have, may need, and any obstacles you may face in obtaining the goal. Consider all parts, such as the timeline, motivation, information, training/education, funding, and support. Then, create an action plan.
Reassess and Adjust—Track your progress. By tracking your progress, you will feel accomplished and be able to identify delays or issues early on. Along the journey, stop and assess your goal. Do you need to restructure the task list, skip some steps, adjust for obstacles, or look for new support? Part of the journey is being flexible.
Consider Other Approaches—There are many methods of achieving goals; it’s up to you to find the method that works best for you and your goals. Some like the Goal Chunking Method (my preference), while others may like the SMART Method: Specific, Measurable, Attainable, Relevant, and Time-based.
PLAN AHEAD. By planning ahead, you are creating an action plan. Sequence each task within the goal and assign a specific time frame to achieve it. Begin by creating daily, weekly, and monthly task lists. This will keep the goal on track and within grasp. Be sure to plan for short breaks between each task to prevent burnout. Celebrate the accomplishment of each task!
KNOW WHEN TO DELEGATE. Not all tasks within a goal are meant to be for one person. Some tasks are meant for others’ expertise. This is when delegating tasks can be crucial to obtaining the goal. There are team members within a company or partners outside the business with strong skills in a certain area that will prove beneficial and efficient. Take advantage of the talents of those who can help bring the goal to reality. The most important part of delegating is communication. Everyone needs to be brought up to date and plan the next steps together in order to achieve success. Following these productivity tips, or even using bits and pieces of them, will make your time more productive, enable you to tackle large projects with ease, and make fewer mistakes. Most of all, you will not feel overwhelmed like we so often do. So let’s…
